Client Onboarding Checklist & Template Builder
Create the client-facing timeline and the internal operating checks behind it. Keep account ownership, access, milestones, communication and acceptance from falling between teams.
Use the toolOnboarding is a delivery system, not a welcome email
Good onboarding moves a signed client into owned delivery without losing scope, access, decisions or expectations. That requires internal work as well as client-facing communication: workspace ownership, account permissions, contacts, baseline evidence, kickoff decisions, milestones, cadence, acceptance and offboarding.
This builder preloads a sensible path and lets you change every step. The output can become both the internal checklist and the client plan.
How the method works
- Confirm the agreement/payment trigger, accountable owner and observable onboarding finish.
- Record the company-owned workspace, named contacts, inputs and least-privilege access list.
- Edit the preloaded stages and add the evidence that closes each one.
- Define acceptance, escalation, access revocation and the next review.
- Use the completeness result to close operational gaps before delivery starts.
Worked example
A simple service onboarding can move through agreement, company-owned workspace, access collection, kickoff and an approved delivery plan. Each stage needs an actor and evidence, such as a signed agreement, verified account access or approved milestone record.
The checklist is incomplete if it ends at kickoff but does not say who owns accounts, how acceptance works or what happens during offboarding.
What this result cannot tell you
The tool does not create contracts, process payments, verify permissions or replace a project manager. Legal, security and compliance requirements vary by service and client. Do not place credentials or sensitive client data into a copied share link.
Frequently asked questions
What belongs in a client onboarding checklist?
Agreement and payment status, contacts, workspace ownership, access, kickoff decisions, baseline, scope, milestones, communication cadence, acceptance, escalation and eventual offboarding.
Should the client see the whole checklist?
Share the timeline, responsibilities, requests and acceptance path. Keep internal QA, risk and credential-administration details in the internal operating record.
How long should onboarding take?
The right duration depends on access, complexity and decisions. Use observable completion evidence rather than an arbitrary day count, then measure real cycle time.
Who owns onboarding?
One accountable owner should coordinate it even when sales, finance, operations and delivery execute different steps.
How should access be collected?
Use named company accounts, least privilege and approved identity or password tools. Record owners and permission levels, not password values.
What should happen at offboarding?
Transfer deliverables and ownership, revoke access, confirm retention/deletion duties, close billing and communication channels, and record final acceptance.
